In order to provide Applicants, Participants, Mentors, Learners and Subscribers for the IoC TechUPWomen Programme, TechUPOnline programme and TechUP Mailing Lists, the University processes the personal data of participants. Please read the privacy information below – Part 1 comprises Durham University’s Generic Privacy Notice. Part 2 comprises privacy information specific to the processing of the personal data of Applicants and Participants for the IoC TechUpWomen Programme. Part 3 comprises privacy information specific to the processing of the personal data of mentors and mentor applicants for the IoC TechUPWomen programme. Part 4 comprises privacy information specific to the processing of the personal data of Learners for the IoC TechUPOnline programme. PART 1 – GENERIC PRIVACY NOTICE


Durham University’s responsibilities under data protection legislation include the duty to ensure that we provide individuals with information about how we process personal data. We do this in a number of ways, one of which is the publication of privacy notices. Our privacy notices comprise two parts – a generic part and a part tailored to the specific processing activity being undertaken.

Retention


The University keeps personal data for as long as it is needed for the purpose for which it was originally collected. Most of these time periods are set out in the University Records Retention Schedule.


Your rights in relation to your personal data
 
Privacy notices and/or consent


You have the right to be provided with information about how and why we process your personal data. Where you have the choice to determine how your personal data will be used, we will ask you for consent. Where you do not have a choice (for example, where we have a legal obligation to process the personal data), we will provide you with a privacy notice. A privacy notice is a verbal or written statement that explains how we use personal data.


Whenever you give your consent for the processing of your personal data, you receive the right to withdraw that consent at any time. Where withdrawal of consent will have an impact on the services we are able to provide, this will be explained to you, so that you can determine whether it is the right decision for you.


Accessing your personal data


You have the right to be told whether we are processing your personal data and, if so, to be given a copy of it. This is known as the right of subject access. You can find out more about this right on the University’s Subject Access Requests webpage.


Right to rectification


If you believe that personal data we hold about you is inaccurate, please contact us and we will investigate. You can also request that we complete any incomplete data.


Once we have determined what we are going to do, we will contact you to let you know.


Right to erasure


You can ask us to erase your personal data in any of the following circumstances:


We no longer need the personal data for the purpose it was originally collected
You withdraw your consent and there is no other legal basis for the processing
You object to the processing and there are no overriding legitimate grounds for the processing
The personal data have been unlawfully processed
The personal data have to be erased for compliance with a legal obligation
The personal data have been collected in relation to the offer of information society services (information society services are online services such as banking or social media sites).


Once we have determined whether we will erase the personal data, we will contact you to let you know.


Right to restriction of processing


You can ask us to restrict the processing of your personal data in the following circumstances:


You believe that the data is inaccurate and you want us to restrict processing until we determine whether it is indeed inaccurate
The processing is unlawful and you want us to restrict processing rather than erase it
We no longer need the data for the purpose we originally collected it but you need it in order to establish, exercise or defend a legal claim and
You have objected to the processing and you want us to restrict processing until we determine  whether  our  legitimate  interests  in  processing the  data  override  your objection.


Once we have determined how we propose to restrict processing of the data, we will contact you to discuss and, where possible, agree this with you.


Making a complaint


If you are unsatisfied with the way in which we process your personal data, we ask that you let us know so that we can try and put things right. PART 2 – PRIVACY NOTICE FOR Participants for the IoC TechUPOnline


TechUPOnline is funded by the Office for Students through The Institute of Coding (IoC): a partnership of over 30 universities in England all working hard to address the digital skills gap. TechUPOnline is part of that work, and we require information about the people enrolling to administer and evaluate the online courses.


Durham University is running the TechUPOnline in collaboration with other University and Industry partners, the data we collect from you will be shared with our project partners where necessary and will only be used to ensure the successful running and monitoring of the activities of the TechUPOnline courses.

When processing your personal data the University relies on Consent as the lawful basis and the further basis of consent  to process Special Category data (sensitive personal data) only for the purposes identified in this Notice.


How personal data is stored

Thinkific
TechUPOnline is hosted by Thinkific Labs Inc. (“Thinkific”). They provide us with the online course creation platform that allows us to offer our courses to you.

Your data is stored through Thinkific’s data storage, databases and the general Thinkific application. They store your data on a secure server behind a firewall.

If you make a purchase on our site, we use a third party payment processor such as Stripe or Paypal. Payments are encrypted through the Payment Card Industry Data Security Standard (PCI-DSS). Your purchase transaction data is stored only as long as is necessary to complete your purchase transaction.
All direct payment gateways adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover.
PCI-DSS requirements help ensure the secure handling of credit card information by our site and related courses and its service providers.

Your personal data will be collected and stored by Durham University in accordance with their data policy https://www.dur.ac.uk/research.innovation/governance/policy/rdm/ 

Your data will be stored in a proprietary database on server that is both secure and backed up regularly according to Durham University policies.  Access to the data is restricted to those persons who are directly involved in the administration of the Programme.

How personal data is processed

Personal Data is collected for the purposes of running the Programme and ensuring that we meet your expectations of the Programme.  Data may also be used to evaluate your application and monitor your progress within the Programme. Our purpose for the evaluation is to ensure that you get the best out of the Programme and for research purposes only. Anonymised Data will also be used to track our performance against our targets for the Programme


Who the University shares personal data with

As Durham University is a member of the IoC, an element of your data will be shared with them. All personal and identifying details will be removed before this data is shared so that all they get are statistics to show how we are doing against our targets.

This anonymised data, collected by the IoC as part of this project will also be passed to the Office for Students to allow them to conduct further research and evaluation of the activities funded as part of the IoC project, including combining with data from similar work at other Universities and Colleges.

Your personal data as identified above will be shared with the Partner Universities involved in TechUPOnline: the Universities of  York, Nottingham and Edgehill.  All data is shared only for the purposes of administering and running the Programme. All TechUP Partners and the IoC are covered by a separate data sharing agreement that will ensure their compliance with the terms of this Policy.


How long personal data is held by the University

Your Personal data will be held for a period of 18 months from the date of initial registration.  This period may be extended, with your permission, where you continue to be involved with TechUPOnline or other elements of the TechUP Programme; for example with the TechUPWomen Programme or TechUP Mentoring Scheme.


Visitors to our websites/webpages

When someone visits www.dur.ac.uk  or techupwomen.org we use a third party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be transparent about this. We will make it clear when we collect personal information and will explain what we intend to do with it.

Use of cookies

A cookie is a simple text file that is stored on your computer or mobile device by a website's server and only that server will be able to retrieve or read the contents of that cookie. Cookies allow websites to remember user preferences, choices and selections, such as what's in your shopping basket. Durham University also make use of the Google Analytics service to understand how you navigate around our site.

Durham University does not use cookies to collect personal information about you.
